Configure Giving Levels

Goal: Set the giving levels your affiliate uses to recognize donors: how many levels there are, what each one is called, and how much lifetime giving it takes to reach it.

Every donor is placed in a giving level automatically, based on their lifetime giving. The levels show up on the Donors list, on each donor's profile, in the donor portal, in reports and filters, and in email merge tags. Ayuna starts every affiliate on five built-in levels; you can rename them, change the amounts, add levels, or remove them to match your own recognition program.

Before you start

  • You need the Manage Giving Levels permission. Administrators have it by default; you can grant it to another role under Administration → Roles.
  • Anyone signed in can view the levels, but only people with that permission can change them.

Open the Giving Levels page

  1. Go to Fundraising.
  2. Click the Giving Levels card.

You can also reach it from Administration → Giving Levels.

The page lists your levels from lowest to highest, with the lifetime giving range each one covers. If you have permission to view donors, a Donors per level table below shows how many donors are in each level today.

The built-in levels

Until you change them, your affiliate uses these levels:

LevelLifetime giving
BronzeUp to $999.99
Silver$1,000 – $4,999.99
Gold$5,000 – $9,999.99
Platinum$10,000 – $24,999.99
Legacy$25,000+

What counts toward lifetime giving

A donor's lifetime giving is the total of the gifts they have personally made to your affiliate, over all time. It is what places them in a level, and it is the total shown on the Donors list and on the donor's profile.

Counted:

  • Completed gifts, in full.
  • Partially refunded gifts, at the amount you kept. A $1,000 gift with $300 refunded counts as $700.

Not counted:

  • Pending payments. A card or bank gift that is still waiting to clear counts as soon as it clears. A hand-entered gift stuck in Pending counts once you mark it completed.
  • Failed or refunded payments, bank (ACH) payments the donor's bank returned, and register gifts voided at the ReStore.
  • Organization gifts. A gift recorded for an organization belongs to the organization, even when a person is named on it as the contact. It counts toward the organization's giving, not the contact's. This includes every payment of a recurring gift made for an organization.

Lifetime giving updates on its own whenever something changes what a donor has given: a new gift, a pending payment clearing or failing, a bank returning a payment, a refund, a voided register sale, an edited or deleted gift, a gift moved to another donor, or two donor records being merged. A refund or void can move a donor down to a lower level straight away.

Change your levels

Each row is one level, with a name and a minimum lifetime giving. A donor is placed in the highest level whose minimum their lifetime giving reaches. The Range column updates as you type, so you can see where each level starts and ends.

  • Rename a level — type a new name. Donors already in that level stay in it; only the name they see changes. Renaming "Gold" to "Gold Circle" keeps every Gold donor in Gold Circle.
  • Change an amount — type a new minimum. Donors move up or down when you save.
  • Add a level — click Add level, then enter its name and minimum.
  • Remove a level — click the trash icon on its row. Donors who were in it are placed in whichever level their giving now reaches.
  • Start over — click Restore defaults to put the five built-in levels back in the form. Nothing changes until you save.

A few rules keep every donor in exactly one level:

  • The lowest level must start at $0.
  • No two levels can start at the same amount.
  • No two levels can share a name.
  • You can have between 1 and 10 levels.

If something breaks a rule, the row with the problem is marked and the page won't save until it's fixed.

Preview, then save

  1. Click Preview impact to see how many donors would be in each level under your changes, and how many would move to a different level. The preview changes nothing.
  2. Click Save levels.
  3. The confirmation tells you how many donors will move. Click Save and update donors.

When you save, every donor's level is recalculated from their lifetime giving straight away. The Donors list, profiles, the donor portal and reports all show the new levels.

:::note Hand-set levels You can still set a donor's level by hand from the Edit Person dialog on their profile. A hand-set level lasts until Ayuna next recalculates that donor, or until anyone next saves the giving levels. Ayuna recalculates a donor whenever one of their gifts is recorded, edited, refunded, deleted or moved to or from them, when one of their payments clears or fails, and when their record is merged with another. At that point Ayuna places the donor by lifetime giving again, even if their total did not change. :::

Where giving levels show up

  • Donors list: the level badge on each donor, and the Giving Level filter.
  • Constituents list: open Filters and choose one or more levels under Giving level to see only donors at those levels. You can pick several (for example Gold and Platinum), and the filter works in any view, not only Donors: in All, it narrows the list to donors at the chosen levels. Each chosen level shows as a chip above the list; click its × to remove it. Export and Select all matching use the same filter.
  • Donor profile: the Giving Level in the profile header, and the Giving Level choice in the Edit Person dialog.
  • Donor portal: donors see their own level and its range on their Donor Profile page.
  • Reports: the donor engagement report's segments, and the Giving Level filter and column in custom reports.
  • Email: the {{donor.giving_level}} merge tag shows the level's name.

Tips

  • Keep names stable once donors know them. Renaming is safe for your records, but donors who have been told they are "Gold" will notice a new name.
  • Revisit amounts once a year, after your annual giving totals are in, rather than mid-campaign.
  • Giving levels are not sponsorship tiers. Sponsorship packages have their own tier names and prices, set per package. A donor can be at your Silver giving level and sponsor at the Gold tier of your gala.
