Manage Your Sponsorship

Goal: Track your sponsorship commitment, see what benefits have been delivered, and pay any installments — from one place.

Two starting points

  • If you have an account: log in and visit /my-sponsorships for the full list of your sponsorships
  • If you don't have an account: use the public sponsorship dashboard URL the affiliate sent you, at /sponsorships/manage/:sponsorshipId. You don't need to log in to use it.

Both lead to similar information.

What you can see

For each sponsorship:

  • The package you signed up for and the tier
  • Total commitment
  • Amount paid to date and amount outstanding
  • Payment schedule (if installment-based)
  • Benefits you're owed
  • Status of each benefit (pending, in progress, completed, waived)
  • The event(s) or campaign(s) the sponsorship supports

Paying an installment

If your sponsorship is paid in installments, each upcoming installment shows on your dashboard. To pay:

  1. Click Pay Now on the next installment
  2. Choose a saved card or enter a new one
  3. Confirm

The payment processes immediately and the installment is marked paid. You'll receive a receipt.

If you'd rather pay by check or wire, contact the affiliate's development office to coordinate.

Tracking benefits

Each benefit your sponsorship includes appears on the dashboard with a status:

  • Pending — committed but work hasn't started yet
  • In Progress — the affiliate is actively working on it
  • Completed — fully delivered
  • Waived — you (or the affiliate) decided to skip this benefit

You'll see updates as benefits move through the workflow. If something's been pending too long, reach out to the affiliate — they want to know if anything's slipping.

Submitting your logo or other deliverables

Many sponsorships include logo placement, ad copy, or other deliverables that require something from you. The dashboard tracks what's expected:

  • "Logo file (high-res, .png) — due by [date]"
  • "Ad copy for event program — due by [date]"

Click any benefit that requires input from you to upload or send the relevant file. The affiliate gets notified once you've submitted.

Communicating with the affiliate

The dashboard includes a contact link for any questions. Use it for:

  • Clarifying a benefit
  • Adjusting deliverables
  • Asking about renewal options
  • Anything that needs a conversation

For routine questions, the affiliate's standard response time is one business day.

Tax receipts

Each sponsorship payment generates a receipt:

  • For sponsorships where you receive goods or services in return (gala tickets, premium parking, etc.), the receipt shows the deductible portion (gift minus FMV of goods/services)
  • For sponsorships where no goods or services are provided, the full amount is deductible

The annual statement at year-end consolidates all of your sponsorship payments for tax filing.

Renewing for next year

Many affiliates run renewable sponsorships year-over-year. As the next event or campaign approaches:

  • The affiliate's development team will reach out about renewal
  • You can renew at the same level, step up, or step down
  • Renewing is usually a much faster process than the original signup since your details are already on file

If you don't hear from the affiliate and you're interested in renewing, reach out yourself — sometimes the timing slips on the affiliate side.

Multi-year sponsorships

For multi-year commitments:

  • The dashboard shows progress across the full window
  • Installment payments are scheduled across the years
  • Benefits are tracked per-year (e.g., "logo at 2026 gala — pending; logo at 2027 gala — pending")

Cancelling

Cancelling a sponsorship is rare — most sponsorships are honored as committed. If circumstances require it:

  • Reach out to the affiliate's development office
  • Don't try to cancel through the dashboard alone; the conversation matters more than the click

The affiliate will work with you on the right path forward, including any refund of unpaid amounts.
