Managing Vehicles
The Vehicles page (in the sidebar under Point of Sale) is where you manage your pickup truck fleet. Every route needs a truck, and the truck's capacity is what route planning uses to avoid over-booking — so keeping the fleet accurate here directly improves your routes.
The fleet list
Each vehicle card shows:
- The truck's name and license plate, with its type (box truck, flatbed, and so on)
- A status badge — active, maintenance, or retired
- Its capacity summary — cargo space in cubic feet, weight limit in pounds, and whether it has a lift gate
- Its home store, when one is set
- Any notes you've added (maintenance history, quirks, insurance details)
Use the status filter at the top right to see only active, maintenance, or retired trucks.
Add or edit a vehicle
Click Add Vehicle (or Edit on a card) and fill in:
- Name and license plate — both required. License plates must be unique; you'll get a clear message if the plate is already registered.
- Type and home store — optional, but the home store helps dispatchers pick the right truck for a store's routes.
- Capacity (cubic feet) and weight limit (lbs) — required. Route planning uses these numbers to decide how many pickups fit on the truck, so measure honestly.
- Lift gate — turn this on if the truck has one; it matters for heavy items like appliances.
- Notes — anything the team should know about this vehicle.
Vehicle status: active, maintenance, retired
Vehicles are never deleted — they move through statuses instead, so route history stays intact:
| Status | What it means |
|---|---|
| Active | In service. Offered in the Route Builder and Driver Scheduling. |
| Maintenance | Temporarily out of service (in the shop). Hidden from route planning until reactivated. |
| Retired | Permanently out of service. Kept for history, hidden from route planning. |
- Retire or move a truck to Maintenance with the buttons on its card. Reactivate brings it back into service.
- Only active trucks appear in the Route Builder's vehicle picker — a retired or in-maintenance truck disappears from planning immediately.
The in-use guard
You can't take a truck out of service while it's still needed. If the truck has routes that are ready, published, or in progress — or upcoming driver assignments — the change is blocked with a message telling you exactly what's in the way. Cancel or reassign those routes first, then retire the truck.
Who can manage vehicles
The Vehicles page and its add/edit/retire actions require route-building permission (the same permission as the Route Builder), so store managers and pickup coordinators can manage the fleet while drivers cannot. See Driver Scheduling and Availability for the pickup roles.
