End-of-Day Closeout
The End-of-Day (EOD) closeout is a single document that summarizes a store's sales for one business day: gross and net sales, returns, the tender breakdown (cash, card, etc., and the day's totals as cash, card and other), sales and tenders per register, per-cashier totals, tax collected, cash-drawer variance with each drawer session's own cash, card and other, voids, and manager overrides. Returns are shown pre-tax, the same way the register slip and the Sales Summary show them, with the tax-inclusive amount refunded listed underneath. You can generate it for today or any past day, and export it as a PDF or a CSV. (For totals across a longer stretch — weeks, months, or a year — use the Sales Summary instead.)
:::info Drawer close vs. day closeout These are two different documents. Closing the register (see Open and Close the Register) reconciles one drawer's cash — counted vs. expected — and prints a receipt-style slip at the register. The EOD closeout on this page is the store-wide rollup of the whole day across all registers and tenders, exported as PDF/CSV for filing and bookkeeping.
The two tie out explicitly. The closeout's Drawer Sessions section lists each register session closed on that day (starting cash, expected, counted, over/short, and the net cash it took that day), and the day's Cash Variance is the sum of those sessions' over/shorts. A session that started the evening before and closed today belongs to today. A register still open at the end of the day is listed under Registers Open at End of Day with its cash so far; its count lands on the day it closes. Cash rung while no register was open appears as Unattributed Cash. The day's Net Cash equals the closed sessions' cash, the open registers' cash and the unattributed cash together, so nothing hides. Close your drawer(s) first; then generate the closeout. :::
Generate it on the web
- Open the Store Manager Dashboard and click End-of-Day Closeout.
- Pick the store and the date (today or earlier).
- Leave Include transaction details on to list individual voids, returns, and overrides; turn it off for a summary-only document.
- Click Generate Report to preview it.
- Export:
- Download PDF — a formatted, printable closeout (great for signing and filing).
- Export CSV — the same numbers as spreadsheet rows, for bookkeeping or importing elsewhere.
Both files are named eod-report-<date> so a day's PDF and CSV sit together.
Generate it on the iPad app
- Go to the Settings tab and tap EOD Closeout (under Reports). It appears for users who can view store reports.
- Choose the date, the format (PDF or CSV), and whether to include transaction details.
- Tap Generate Report.
- Then either:
- Save to Files — store the PDF/CSV in the Files app (iCloud Drive, the device, etc.).
- Email Report — open a pre-filled email with the document attached, to send to a bookkeeper or manager. If the iPad has no Mail account set up, the share sheet opens instead so you can AirDrop it or use another app.
The document is generated on the server from the same data as the web version, so the numbers match exactly.
Donations and cash rounding on the closeout
If your store takes round-ups or checkout donations, or settles cash on the nickel, the closeout carries a Giving at the Register block and the drawer slip prints the sentence it belongs to:
Net sales + Tax + Contributions + Cash rounding = Tenders − Change
The block shows Donations at the register with the two kinds it is made of underneath, each with a count: Round-up donations (the customer rounded the sale up to the next dollar or increment) and Checkout donations (the customer added a gift of their own). The two always add up to the donations line. Cash rounding is its own line with its sign shown, so -$0.14 is a day that rounded cash tenders down fourteen cents and +$0.06 is one that rounded them up. It is marked tender only because it changed what cash crossed the counter, never what any sale was worth.
All of it is separate from net sales on purpose. A donation is not merchandise revenue and is never taxed; a rounding adjustment is not revenue at all. The donations were paid with the sale, though, so they are inside the tender totals — which is why, without these lines, the day's tenders would come to more than its sales and the drawer would look wrong when it is not.
The same figures appear the same way everywhere the day is summarized: the web closeout, the PDF and CSV (the CSV always carries the rows, zero or not, so a spreadsheet formula never loses a column), the printed drawer slip on the web and the iPad, and the iPad register's own drawer screen. Each cashier's line and each hour's line count merchandise only, with the giving that cashier or hour took shown beside the figure rather than inside it, so the cashier who asked for the most round-ups no longer looks like the one who sold the most.
None of it touches over/short, which stays what it has always been: the gap between counted cash and expected cash. The closeout does show, under the tender breakdown, whether the day balanced — whether the sales, tax, donations and rounding foot to the tenders — and by how much if not.
Returns on the closeout
A return takes money back out of the drawer, and it takes the tax on the returned items with it — plus the donation, on the affiliates that refund one. So on a day that had returns the sentence grows a term and the slip shows the halves that go with it:
Net sales + Tax + Contributions + Cash rounding = Tenders − Change − Refunds
Returns, merchandise is merchandise only, the same pre-tax figure that comes off net sales, so the sales block adds up: gross sales, less discounts, less returned merchandise, is net sales. Tax refunded on returns sits with the tax, Refunded on returns sits under the donations, and Refunds Paid Out — what the customer actually got back, all of it — sits with the cash. All of them appear only on a day that had a return, so an ordinary day's closeout reads exactly as it always has.
Ayuna checks that identity at every drawer close rather than printing it and trusting someone to verify it by hand. A day that does not foot appears on Giving Exceptions as a critical item, and the slip prints the shortfall rather than just the formula.
PDF vs. CSV — which to use
- PDF is the human-readable, print-and-file copy. Use it for the binder, a signature, or emailing a manager a clean summary.
- CSV is the machine-readable copy. Open it in Excel or Google Sheets, or hand it to your accounting workflow. Money is written as plain numbers so spreadsheets can total them.
Automate the closeout email
Instead of exporting it by hand each day, you can have Omnivo email the closeout automatically at a set time.
- Go to Administration → EOD Closeout Email.
- Turn on Send the closeout automatically.
- Add one or more recipients (any email address — a manager, a bookkeeper, an accounting inbox).
- Set the send time and timezone, and choose Report for:
- The day the email is sent — best for an evening send (reports that day).
- The previous day — best for an early-morning send (reports yesterday).
- Pick the attachment format (PDF, CSV, or both) and whether to include transaction details.
- Choose the stores: all active stores (one email per store), or a single store.
- Click Save. Use Send test email now to confirm it arrives.
Each day at the chosen time, Omnivo generates each store's closeout and emails it to your recipients — no manual step. If a register is still open at the send time, it waits up to two hours for it to close, then sends anyway with the open registers named in the subject and the message. It sends once per day; if you need a re-send, use Send test email now.
You need the manage store reports permission to change these settings.
If your stores take round-ups or checkout donations, the weekly giving digest goes to these same recipients, at this send time, every Monday. There is no separate list for it.
Troubleshooting
- The figures look off for the day. The closeout uses the store's business day. Confirm you picked the right date and store.
- "Email Report" did nothing on the iPad. No Mail account is configured on the device — the share sheet opens as a fallback; pick a mail app or AirDrop there.
- The EOD Closeout option isn't in Settings on the iPad. Your account needs permission to view store reports. Ask an admin.
- The automatic email didn't arrive. Check that it's enabled with at least one recipient, that the send time/timezone have passed for today, and try Send test email now. A recipient's spam folder is worth a look too. A register left open delays the email by up to two hours.
- The subject says "[1 register still open]". A drawer session was open when the closeout was generated, so that register's count is missing. Close the register, then use Send test email now for a final copy.
