Giving Exceptions

If your store takes round-ups or checkout donations, this report is the one place where things that went wrong after a sale completed become visible.

Find it under Administration → POS Settings → Giving Exceptions.

Why a report and not an error

Everything listed here happens once the customer has already paid. A donation is recorded, the card is charged, the drawer is closed — and then the bookkeeping step behind it fails: the journal entry cannot post, the fiscal period is closed, the receipt could not state your EIN.

Ayuna deliberately does not fail the sale for any of these. Stopping a customer at the register because of an accounting problem is the worse answer, every time. But the alternative — letting it go by quietly — is how an affiliate ends up with three months of donations that never reached the books. So the sale goes through and the problem lands here.

Nothing on this page cost a customer anything. All of it needs someone to look at it.

What you'll see

Most serious first within each day.

Donation never posted. The sale completed and the money is real, but the books do not show it. Usually the account mapping: check that your default mapping exists, then re-post. This one is worth doing the same week.

Waiting on a closed period. The posting refused on purpose because the fiscal period is closed. Reopen the period or move the entry to an open one.

Receipt could not substantiate the gift. A donation was taken while your affiliate had no EIN or donee name on file. The donor cannot deduct it as printed. Ayuna refuses to switch giving on without an EIN, so this only appears if the EIN was removed after gifts were already being taken.

The day does not foot. Net sales + Tax + Contributions + Cash rounding did not equal Tenders − Change. Something was counted on one side and not the other. Ayuna checks this at every drawer close rather than printing the formula and hoping someone verifies it, and the nightly check repeats it for the store's whole day — so a day that does not foot shows up even if no drawer was closed.

Gift added just before payment. There was no pause between the donation appearing on the sale and the card being charged. Usually a busy lane, and it is reported as information rather than a problem — but if the same cashier accounts for most of them, that is worth a conversation.

Donation reversed. A gift was reversed after the donor had been receipted. Legitimate as a correction; worth noticing if it becomes a pattern.

Nowhere to post donations. Giving is switched on and there is no default account mapping, so every gift taken from here will fail to post. Fix this one today.

Receipt was never written. A donation was taken and the acknowledgment behind it does not exist, so the donor cannot retrieve it — and the sale slip printed a receipt number for it anyway. Open the donation and generate the receipt; that is the whole fix. Worth doing promptly: this is the document the donor needs at tax time, and a gift given at the register with no name attached to it is booked to your affiliate's placeholder donor, so no year-end statement will reach them either.

Refund never booked. A return went through and the customer was refunded, but the refund's journal entry was not written, usually because the store has no account mapping or the fiscal period is closed. The refund is real and the sale's entry still stands in full, so the books are overstated by the refund until it is entered as an adjustment. Fix the mapping or reopen the period, then book the refund by hand; the exception lists the return number and the amount.

Working the list

Mark handled closes an item. The nightly check never reopens something you have marked handled, even if it detects the same thing again — it just refreshes the details.

Check yesterday again re-runs detection for the previous day. It is safe to run repeatedly; it updates what it finds rather than duplicating it. Ayuna runs this automatically each night, so the button is only for when you have just fixed something and want to confirm.

A clean list is the normal state. If it is never clean, the affiliate has a configuration problem rather than a run of bad luck.

The weekly digest

Every Monday, Ayuna emails a digest of this report for the week before: what is still open, by type and with the oldest date; what was taken at the register that week, with the take rate; and one row per cashier — how often they asked, how often the customer said yes, donations voided and their value, and gifts added seconds before payment.

It goes to the same people as the automatic end-of-day closeout email, at that email's send time and in its timezone. There is no second recipient list to keep in step: set the closeout email's recipients and the digest follows. If the closeout email is off or has no recipients, nothing is sent, and Administration → Checkout giving → Voids and returns says so.

The digest is on by default for any affiliate with giving switched on. Turn it off on the same card. An affiliate with giving off and nothing open on this page never receives one.
