Sales Reports
The Sales Summary answers "how did we do?" over any stretch of time — a day, a week, a month, a year, or any custom range — without leaving the POS. Run it for one store or for all stores in your affiliate, view it on screen, print a compact copy on the receipt printer, or export it as a PDF or CSV.
:::info Which report do I want?
- Register close slip — one register session's cash reconciliation (Open and Close the Register).
- End-of-Day closeout — one store, one business day, with transaction detail (End-of-Day Closeout).
- Sales Summary (this page) — any date range, one store or all stores, totals and trends rather than individual transactions. :::
What's in the report
Every sales summary uses the same definitions as the register and EOD reports, so the numbers tie out:
- Totals — gross sales (before discounts and tax), discounts, returns, net sales, tax, and total collected, plus transaction counts and the average sale.
- Tenders — how customers paid: cash (net of change given), each card brand (Visa, Mastercard, etc.) with its own count and amount, and any other tenders. The report also totals them as cash, card and other, the same way everywhere: card is credit, debit, a phone wallet such as Apple Pay, and sales taken on a standalone terminal; other is gift cards, store credit and checks.
- Sales over time — totals bucketed by day, week, month, or year. The bucket size is chosen automatically to fit the range (a two-week range shows days; a two-year range shows months) so the trend is readable.
- Top categories — where the sales came from.
- Cashiers — per-cashier sales and transaction counts.
- Registers — one line per register with its sales, returns, net, tax and its cash, card and other; the same line the End-of-Day closeout prints. A register is one line even after it is renamed, and two stores that both call a register "register-1" get a line each. Run the report for a single register to see only its numbers.
- Per-store breakdown — when you run it for all stores, each store gets its own line so you can compare locations.
- Register sessions — how many drawer sessions the range covered, how many closed inside it and how many were still open at its end, their combined over/short, and any cash rung while no register was open; then the same per register, with the net cash each register's sessions took.
Voided transactions are excluded from sales figures throughout.
Run it on the web
From the POS terminal, click Reports in the header. From the Store Manager Dashboard, click Sales Reports (next to End-of-Day Closeout). Both open the same dialog:
- Pick a period — Today, Yesterday, This Week, Last Week, This Month, Last Month, Year to Date, or Custom Range with your own start and end dates.
- Pick the scope — a single store or All Stores. For a single store you can also pick one register, or leave it on all registers.
- Click Generate. The report renders on screen with all the sections above.
- Use the buttons to Print a formatted copy, or download the PDF (for filing or emailing) or CSV (for Excel / Google Sheets — the same sections as spreadsheet rows).
A store's own page has the same report on its Reports tab, already scoped to that store, with a register picker and a link to the store's transactions. See Manage a Store.
Run it on the iPad app
- Go to the Settings tab. Under Reports, tap Sales Summary (it sits next to EOD Closeout and appears for users who can view store reports).
- Pick the period (same presets as the web, or a custom range), choose this store or all stores — or turn on This register only for this iPad's own numbers — and pick PDF or CSV.
- Tap Generate Report, then:
- Save to Files — store it in the Files app.
- Email Report — send it with the document attached (the share sheet opens instead if the iPad has no Mail account).
- Or skip the export entirely and tap Print Summary to print the compact version on the receipt printer — handy for a quick week-in-review at the counter. Ranges longer than about two weeks print totals without the period-by-period table so the slip stays a sensible length — the full breakdown is always in the PDF and CSV.
Reports are generated on the server from the same data on every surface, so the web, iPad, PDF, and printed numbers always match.
Reading the numbers
- Gross sales is the item total before discounts and before tax.
- Net sales = gross − discounts − returns. This is the "how did we do" number.
- Tax is listed separately and is not part of net sales.
- Total collected is what actually came in: net sales + tax, plus any donations taken at the register.
- Cash in the tender section is net of change given back to customers, so it reflects what the drawers actually kept.
If your stores take round-ups or checkout donations, more lines appear under total collected:
- of which donations at the register is what customers gave. It sits inside total collected, because the donation was paid on the same transaction. Underneath it, round-up donations and checkout donations show how much came from each, with the number of each, and they always add up to the donations line. On a range that had a returned gift, refunded on returns shows what went back.
- of which merchandise is total collected less the donations: use that one when you want to know how the store did selling things.
- Cash rounding is not inside total collected. Rounding changes what the customer hands over, never what the sale was worth, so the sale keeps its exact total and the difference is reported on its own line with its sign (-$1.20 is a range that rounded cash down). It is also why the cash tender line can come to slightly more or less than total collected on a day when rounding is on.
Each bucket in the by day / week / month list shows its giving beside the transaction count, so a "collected" line that jumps the week a store switched giving on is not mistaken for a sales jump. The printed summary and the CSV carry the same lines; the CSV carries them whether or not anyone gave, so a spreadsheet formula never loses a column.
These are the same names the End-of-Day Closeout uses, deliberately — the two reports cover the same days and should never disagree about what a number means.
Troubleshooting
- The Reports button / Sales Summary option is missing. Your account needs permission to view store reports. Ask an admin.
- A date range is rejected. The end date can't be before the start date, and ranges are capped at roughly ten years.
- Totals differ from an old report you saved. Reports are computed live — refunds or voids recorded after you saved the old copy change the totals for that period.
