Volunteer Hours by Project Report

Goal: See total volunteer hours grouped by construction project — with hours logged on each project's opportunities counted toward that project — without building a query from scratch.

Where it lives

The report is a system template that ships with every affiliate. To open it:

  1. Go to Reports → Library.
  2. Filter to the Volunteers category and find Volunteer Hours by Project.
  3. Click Run.

Permission gate: volunteers.hours.view.

What's in the report

One row per project, sorted by total hours (highest first):

Use the date range and filters at the top to focus on a period, then Export to CSV, Excel, or PDF.

How hours roll up to a project

This report is different from a simple "hours that name a project" list. Hours count toward a project in two ways:

  • Hours logged directly against the project (for example, when a coordinator records hours and selects the project), and
  • Hours logged against an opportunity that is connected to the project. When volunteers attend an opportunity that belongs to a project, those hours roll up under that project automatically — you do not have to set the project on each hour entry.

Because most volunteer hours are recorded by closing an opportunity or entering a roster (not by hand-picking a project), the roll-up is what makes the totals complete. An opportunity only contributes to a project once it is connected to that project — see Link an opportunity to a project.

What if a project is missing or hours look low?

  • Hours show under "(no project)". Those hours aren't connected to any project — either they were logged against an opportunity with no project, or recorded without one. Connect the opportunity to a project and re-run the report.
  • An opportunity's hours aren't counted. Confirm the opportunity is connected to the project (open the opportunity — it should show the project, and the opportunity should appear on the project's Volunteer Opportunities tab). Cross-reference-only links don't count unless they also assign the project; see the linking guide above.
