Check In on Event Day
Goal: Arrive, get checked in fast, do the work, and get checked out cleanly so your hours are recorded accurately.
Before you arrive
- Confirm date, time, and location from your confirmation email or your Volunteer Events page
- Bring whatever the event description called for — closed-toe shoes, sunscreen, water bottle
- Have your phone or your printed confirmation handy for check-in
Checking in
You'll have one of these options, depending on how your affiliate runs the event:
- Self check-in — open the event in your account and tap check-in when you arrive
- QR check-in — show the QR code from your confirmation; a coordinator scans it
- Coordinator check-in — say hi to the coordinator at the entrance; they check you in
Whichever method, you're now marked present and your time-in is recorded.
During the event
- Follow the safety briefing
- Pay attention to your slot's specific role
- If your event uses tasks, check My Tasks in your account for what's been assigned to you, or pick up an open task that needs doing (see Pick Up and Complete Tasks)
Checking out
When you're done, check out the same way you checked in. This locks in your end time, which is what gets converted to logged hours.
If you forget to check out, the coordinator can do it for you, but it's better if you handle it yourself — you know exactly when you left.
What if you can't make it last minute
Open the event in your account and cancel as early as you realize. A short note to the coordinator is appreciated when it's day-of.
After the event
- Your hours land in the affiliate's review queue and are usually approved within a few days
- Once approved, the hours appear on your My Hours page
- A thank-you note from the coordinator typically follows within 24 hours
