Add Volunteers Individually

Goal: Get a single volunteer into Ayuna when they reach out directly — by phone, email, or in person — without sending them through the public signup flow.

When to use this

  • A long-time volunteer who isn't online
  • A staff member or board member acting in a volunteer capacity
  • Someone an existing volunteer is bringing along
  • Recovering someone who started signing up but never finished

For everyone else, prefer the public flows in Publish an Embedded Signup Form or Share Public Opportunity Links — they capture the data more reliably and don't burn coordinator time.

What to capture

At minimum:

  • Legal name and a working email address (the email is how Ayuna will communicate with them)
  • Phone number if you'll need it for day-of contact
  • Mailing address if you send physical recognition or tax letters

Skills, availability, and emergency contacts can be filled in later — or by the volunteer themselves once they log in.

After creation

The volunteer's status starts as Active by default. They'll need to:

  • Complete any mandatory requirements before registering for gated events (see Meet Event Requirements)
  • Sign waivers attached to the events they want to join

If you set up the volunteer with an email address, they can log in using that email.

Avoiding duplicates

Before creating, search by name and email. Ayuna will surface possible matches. Adding a duplicate person fragments their hours and history.
