Invite Volunteers by Email

Goal: Reach out to specific people — existing volunteers, donors, or fresh prospects — with a personalized invitation to register for an event.

When to invite by email

  • Filling a specialty event ("we need three licensed electricians next Saturday")
  • Re-engaging volunteers who haven't attended recently
  • Turning a donor into a build-day volunteer
  • Following up on a past attendee for a similar event

For broad audience reach, prefer the public link (see Share Public Opportunity Links). For a specific list, the email invite is more personal and lets you precheck eligibility.

How invites work

Generate invitations from an event. Each recipient gets a unique link with a token. When they click it, Ayuna:

  • Identifies them by the token (no login required)
  • Checks their eligibility against the event's requirements and slot rules
  • Shows them what's missing, if anything, and offers a one-click register if they're eligible

Compose the message

Use a Communications template so your branding and tone stay consistent:

  • Lead with the why — what's the project, who does it help, why this volunteer
  • Give the date, time, and location prominently
  • Note any prerequisites (requirements, waivers) the person will need to clear
  • Close with the personalized link

Track responses

The event's notification history shows who got the invitation, who opened it, who clicked, and who registered. Use this to:

  • Send a friendly nudge to non-responders
  • Recognize the volunteers who consistently say yes
  • Refine your audience over time

Don't over-invite

Bombarding the same volunteers with repeat invites is the fastest way to lose them. Segment thoughtfully and pace your outreach.
